The Dubai Paperless Strategy is an initiative by Smart Dubai and mandated by His Highness Sheikh Hamdan Bin Mohammed Al Maktoum, for Dubai Government to go completely paperfree by 12th December 2021, eliminating more than 1 billion pieces of paper used for government transactions every year. The task for Duncan & Ross was not only to digitialise, but also automate all paper based processes across 9 departments at DIEZ by the December deadline that was set for all Dubai government entities. The project required us to follow each process across multiple departments, multiple IT systems within those departments, and ensure all information remained digitized.

SOLUTION
DIEZ quantified the gaps in their existing process that was not digitized. The most appropriate technology required for the solution was selected – Microsoft Teams + Microsoft Power Automate. Duncan & Ross then supported by enabling the right team with the chosen technology skillset to deliver this project. 5 professionals including a Project Manager and Microsoft Technology Stack Experts were deployed onsite at DIEZ offices and offshore too. The solution provided was a single interface through Microsoft Teams where users communicate, receive notifications and have approval workflows. Integrated systems included Dynamics 365 CE & FinOps, DocuSign, SharePoint and Adrenaline. Technology selection was agnostic and not dependent on DIEZ’s inhouse skillset. A quality implementation of the product was achieved, as the deployed team were subject matter experts. Per Duncan & Ross standards, the project was delivered on time and in budget.
